The Purchasing Assistant will support the Purchasing Manager in the procurement of goods and services. This role involves maintaining accurate records, managing inventory levels, liaising with suppliers, and ensuring that the purchasing process runs smoothly and efficiently.

Requirements

• Bachelor Degree in Purchasing and Supply chain or a related field
• KISM member.

• Diploma in Purchasing and Supplies.
• 2 yrs. experience in a purchasing or procurement role is required
• Knowledge of procurement processes, vendor management, and inventory control.

• Familiarity with purchasing software or enterprise resource planning (ERP) systems is a plus.

• Strong analytical and problem-solving skills.

• Excellent communication and negotiation abilities.

• Proficiency in using Microsoft Office Suite (Word, Excel, Outlook) or similar software.

• Ability to work independently and as part of a team.

• Detail-oriented and well-organized, with the ability to prioritize tasks and meet deadlines

• Collect, compile and file monthly offers received from multiple companies.
• Maintain an up-to-date register of pre-assessed, approved suppliers for procurement purposes and ensure the suppliers information include contact details and assessment record are accurately recorded.

• Identify and evaluate potential suppliers by conducting research and market analysis.

• Obtain quotes, bids, and proposals from vendors for evaluation.

• Compare prices, specifications, and delivery dates to facilitate informed decision-making.

• Support negotiations with suppliers to achieve favorable terms and conditions.

• Prepare accurate purchase orders, ensuring all necessary information is included.

• Confirm orders and delivery schedules with suppliers through effective communication.

• Resolve any issues or discrepancies related to deliveries or invoices promptly.

• Cultivate strong relationships with suppliers to enhance procurement processes.

• Monitor supplier performance, address concerns, and provide feedback where necessary.

• Maintain accurate and up-to-date records of purchases, including pricing and delivery information.

• Update inventory systems or databases to reflect changes in stock levels.

• Generate reports on purchasing activities, analyzing costs and identifying savings opportunities.

• Collaborate with warehouse or inventory teams to ensure proper storage and distribution of purchased items.

• Conduct periodic stock checks, reconcile discrepancies, and maintain inventory accuracy.

• Assist in forecasting future inventory needs based on consumption patterns and organizational requirements.

• Stay informed about new products, suppliers, and market trends through ongoing research.

• Identify alternative suppliers or products that can improve quality or reduce costs.

• Follow established procurement policies, procedures, and ethical standards and ensure compliance with relevant laws, regulations, and contractual obligations.
