Key Responsibilities
1. Event Coordination:
- Collaborate with clients to understand their requirements, and budget for each event.
- Develop detailed event plans, timelines, and schedules.
- Coordinate with vendors, suppliers, and contractors to secure necessary services and materials.
- Manage client communications and ensure their expectations are met and exceeded.
2. Logistics Management:
- Plan and oversee all logistical aspects of events, including transportation, accommodation, and catering arrangements.
- Coordinate with venues to manage layouts, seating arrangements, and other logistical details.
- Develop contingency plans to address potential issues that may arise during events.
3. Financial Oversight:
- Create and manage event budgets, ensuring all expenses are tracked and stay within allocated limits.
- Negotiate contracts with vendors and suppliers to achieve the best possible terms.
- Prepare financial reports and post-event cost analyses for review by management.
- Ensure timely and accurate invoicing and payment processing.
4. Hall Setup and Decoration:
- Oversee the design and setup of event spaces to align with client specifications and company standards.
- Manage a team of decorators and setup crew to ensure efficient and high-quality execution.
- Conduct site visits to ensure setup is progressing as planned and troubleshoot any issues.
- Ensure all decorations and setups are safely and efficiently dismantled post-event.
5. Client Relations:
- Build and maintain strong relationships with clients to encourage repeat business and referrals.
- Act as the primary point of contact for clients throughout the event planning and execution process.
- Solicit client feedback post-event to ensure continuous improvement.
Qualifications:
- Bachelor's degree in Business Administration, Event Management, Hospitality or a related field.
- Proven track record of successfully managing large-scale events from start to finish.
- Strong organizational and multitasking skills with the ability to manage multiple projects simultaneously.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite.
- Ability to work under pressure and meet tight deadlines.
- Creative thinking and problem-solving skills.
- Flexibility to work evenings, weekends, and holidays as required by event schedules.
